Inventory & Purchasing Coordinator

Seasonal – Approx. 32 hours/week
March–Mid November

About Blooms & Berries Farm Market

Winning multiple Best of Cincinnati awards — Best Local Farm and Best Pumpkin Patch/Farm — Blooms & Berries Farm Market is a family-owned and operated, forward-thinking agritourism farm, retail market and garden center that places high value on professionalism and passion.

Since 1999, we have served thousands of guests annually to pick strawberries and other fruit; visit the animals; shop in our bakery, market barn and garden center; and attend seasonal events. Our business is highly seasonal and moves quickly. Success requires planning months ahead while executing precisely week to week.

We enjoy a positive, professional atmosphere and working in jeans and comfy shoes most days. Winter brings a slower pace and time to reset before the next season begins.

Position Summary

The Inventory & Purchasing Coordinator is a key on-site operational role responsible for maintaining accurate inventory levels, executing disciplined purchasing, and ensuring seamless seasonal product flow across the farm.

This position requires an extremely detail-oriented, systems-minded individual who is comfortable working heavily on a computer while also managing physical inventory. Success in this role depends on strong data skills, forward planning, vendor coordination, internal communication, and a deep understanding of seasonality.

Some products must be ordered months in advance — sometimes an entire season’s worth at one time. This role requires someone who can think ahead, analyze historical data, anticipate demand and act proactively.

This is not a creative buying role. It is a data-driven, planning-focused role that protects margin, reduces chaos, and supports every department of the farm.  Please include the word “excited” in the subject line of your application email to demonstrate your attention to detail.

Major Responsibilities

Inventory Control and Accuracy

  • Enter and update inventory data within the POS system
  • Utilize POS inventory data to determine reorder needs
  • Conduct physical inventories as needed to correct and maintain system accuracy

Purchasing & Seasonal Planning

  • Place orders by weekly and seasonal preorder deadlines
  • Understand vendor minimums, and lead times
  • Determine order quantities using historical sales data, projected seasonal demand, and current inventory levels
  • Balance stocking ahead with cash flow and storage realities

Vendor Relationships

  • Develop strong relationships with sales representatives
  • Stay informed about upcoming deadlines, deals, and seasonal offerings
  • Compare quality and pricing among vendors offering similar products
  • Work with reps to schedule preferred delivery dates
  • Follow up on missing or damaged shipments.

Communication & Coordination

  • Communicate clearly with retail, bakery, office, and operations teams regarding:
    • Incoming deliveries
    • Backorders
    • Delivery timelines
    • Where product should be staged
    • Acceptable delivery windows
  • Coordinate with retail to ensure all product is properly priced before going to the floor
  • Work with bookkeeper to track payments / credits.

Data & Systems

  • Maintain strong inventory records within POS systems
  • Utilize Excel or Google Sheets for tracking and forecasting
  • Analyze sales data to identify reorder patterns and seasonal trends
  • Build and maintain a highly organized record of orders to build upon each year.
  • Balance great record keeping with great forward momentum, don’t get caught in analysis paralysis.

What This Role Is Not

  • Not a warehouse manager (we are a small family business — there is no warehouse department)
  • Not a merchandising or display role
  • Not bookkeeping or payroll
  • Not a purely physical stockroom job
  • Not a creative product buyer

Qualities We Are Looking For

  • Extremely detail-oriented yet can keep the project moving forward
  • Highly organized and process-driven
  • Strong computer and data skills
  • Comfortable working heavily in spreadsheets and POS systems
  • Able to learn product lines quickly
  • Forward-thinking with strong seasonal awareness
  • Calm under pressure during peak season
  • Strong communicator across departments
  • Analytical thinker who enjoys numbers

Qualifications & Skills

  • 2+ years experience in inventory control, purchasing, retail operations, or similar field
  • Strong proficiency in Microsoft Excel or Google Sheets (pivot tables and basic formulas preferred)
  • Experience working with POS inventory systems strongly preferred
  • Ability to analyze historical sales data and apply it to forecasting
  • Ability to lift and maneuver 40 pounds
  • Demonstrated reliability and follow-through
  • Demonstrate a passion for Blooms & Berries Farm Market
  • Strong interpersonal and communication skills
  • Willingness to sign an NDA

Seasonal Expectations

  • Approximately 32 hours per week, March through mid-November
  • Primarily weekday schedule, with occasional flexibility
  • Reduced hours or time off December through February
